Getting started with Brew Letters

Set up your account, write your letters, and mail your first batch. It takes about 15 minutes.

1. Create your account

  1. Go to brewletters.app/app and choose Create account.
  2. Enter your email and a password of at least 10 characters.
  3. Choose Agent or Investor. Investor letters say plainly that you are an investor and not an agent.

2. Add your details

On Make letters, scroll to "Printed on every letter" and fill in your name, brokerage or company, phone, email and offer page (your website). These go at the bottom of every letter. A QR code to your offer page prints in the footer, and you can turn it off. You can also add a tracking tag to the QR link to see which round got scanned.

3. Write your letters

  1. Click Customize my letters.
  2. Pick a type: Same Address, Local Area, Out of Area or Vacant. Each type has its own letters.
  3. Each type starts with 2 rounds. Round 1 is the first letter and Round 2 is the follow-up. You can raise the number of rounds up to 6 and set the days between letters.
  4. Edit the wording, or open Start from the W.H.O. formula and answer three questions: who the letter is for, a hook, and one clear offer. Each is one sentence, so the letter stays at three sentences or fewer. Your phone, email and website go underneath.
  5. Click a placeholder button, like PRFirstName, to add each person's name. Use {{PRFirstName|friend}} to fall back to a word when a name is missing.
  6. Click Save this letter. You can go back to the starter wording any time.

The starter letters are plain and make no promises. Have your broker or attorney review your wording before you mail.

4. Get your list ready

Brew Letters reads a CSV file. If your list is in Excel, use Save As and choose CSV. Up to 5,000 rows per file.

The file needs a header row. The two columns that are required are the property address and the last name of the person who passed away. The rest are optional, but the more you have, the better your letters read.

InformationColumn names we recognize
Property address (required)DecAddress, Decedent Address, Property Address
Decedent last name (required)DecLastName, Decedent Last Name
Decedent first nameDecFirstName, Decedent First Name

Personal representative addressPRAddress, PRCity, PRState, PRZipCode
Phone and emailPhone 1, Phone 2, Email

Capital letters, spaces and punctuation do not matter. If we cannot find a required column, you will see a message that says which one.

5. Upload and check

  1. On Make letters, choose your file and click Upload and check.
  2. Optional: add your own Do Not Mail list and a list of assisted living homes. Each is a CSV with a column named Address.
  3. Read your results: duplicates removed, apartments removed, assisted living removed, Do Not Mail, rows that need a fix, and how many are ready to mail.
  4. Look at Not mailed and Needs a fix. Everything left out is also in your results file.

6. Optional: skip homes that are already listed

If you have MLS access, export your recent listings as a CSV (it needs an address column and a status column) and choose it. You will see a preview. Untick any lead you still want to mail, then click Set aside the checked leads. We never ask for your MLS login.

7. Preview, then download

  1. Choose Letters due now so each lead gets its next round when it is due, or pick one round for everyone.
  2. Click See what will be made. It is free. You will see how many letters, how many leads, and the first three letters.
  3. Click Download letters (PDF). Each letter costs one credit.
  4. Print the PDF and mail it. It is sorted by zip code to make bundling easy.
  5. Read the reminder shown before you print: agents, have your broker approve your marketing. Investors, check the disclosure rules that apply to you.

8. After you mail

Your letters and credits

One credit makes one letter. Founding members have a free balance, shown at the top of the page. The preview is always free.
